How to Sell In-Store with POS Lite on Paysasa

Guides

POS Lite is a lightweight point of sale for shops, cafes and counters. Learn how to set up products, ring up a sale, take M-Pesa or wallet payments and review your daily sales.

Not every sale happens online. Shops, cafes, salons, pharmacies and market stalls need a quick way to ring up items and take payment at the counter. POS Lite on Paysasa is a lightweight point of sale built for exactly that, with sales tied directly to your business wallets and Paysasa settlement.

This guide shows you how to set up POS Lite and make your first sale.

Before you start

  • Create a business on Paysasa and complete KYC and business verification.
  • Decide which business wallet your counter sales should settle into.
  • Have your list of products and prices ready.

Step 1: Open POS Lite

  1. Sign in at app.paysasa.com.
  2. Open POS from your dashboard (app.paysasa.com/dashboard/pos).
  3. Select your business. If you do not have one yet, create it under Businesses first.

Step 2: Build your product catalogue

Add the items you sell, with clear names and prices. For example, a cafe might add "Coffee — KES 200" and "Pastry — KES 250". Organise items so cashiers can find them quickly. You can also record a quick sale for a custom amount when an item is not in the catalogue.

Step 3: Set up staff

Invite your cashiers to the business and give them only the permissions they need, such as selling and viewing sales. Avoid sharing the owner login.

Step 4: Ring up a sale

  1. Open POS and choose your business.
  2. Go to Sell.
  3. Add products to the cart, adjusting quantities as needed.
  4. Check the total with the customer.

Step 5: Take payment

Choose the payment method shown on the screen:

  • M-Pesa: enter the customer's phone number to send an STK prompt. The customer approves on their phone.
  • Wallet: the customer pays from their Paysasa wallet.
  • Other methods as offered for your business, such as recording a cash payment.

While an M-Pesa prompt is pending, staff can continue serving other customers. If the status is unclear, check Transactions before trying again — do not send a second prompt blindly.

Customers can also pay at the counter using your Paybill and short till, shown on your printed sticker with a QR code.

Step 6: Complete the sale

Once payment is confirmed, complete the sale. The sale is recorded in your POS history and the money settles to your business wallet.

Step 7: Review sales

At the end of each shift or day:

  1. Open the business's POS Sales area to see completed sales.
  2. Compare totals with your wallet balance and any cash recorded.
  3. Note best-selling items and slow movers for restocking decisions.

Tips for busy counters

  • Keep the catalogue tidy. Remove discontinued items and update prices promptly.
  • Display your till sticker where customers can see it.
  • Confirm before handing over goods. Payment should show as complete on the POS or in Transactions.
  • Separate shifts so each cashier's sales are easy to review.
  • Reconcile daily. A few minutes each evening prevents big surprises at month end.

Connecting other systems

Businesses with their own catalogue or inventory systems can connect them through the POS API — for example, syncing catalogue items or receiving sale notifications in their own system. Kenyan merchants who need electronic tax invoices can look at the KRA eTIMS module where it is enabled. See the Paysasa API docs.

An illustrative example

Imagine a small cafe in Nanyuki. In the morning rush, the barista adds two coffees and a pastry to the cart, enters the customer's number and sends an M-Pesa prompt. While the customer approves, the barista starts the next order. At closing time, the owner opens the POS sales view, sees the day's total and the best-selling items, and plans tomorrow's baking.

Fees

Checkout and payment fees are listed on the Paysasa pricing page.

Conclusion

POS Lite gives counters a fast, simple way to sell and take payment, with every sale tied to your business wallet. Set up your catalogue, invite your cashiers, display your till sticker and you are ready to serve.
