For many Kenyan businesses, tax compliance is now part of daily operations, and KRA's electronic Tax Invoice Management System (eTIMS) is a big part of that conversation. We include an opt-in setting in Xduka POS to fiscalise sales via eTIMS on our sister platform Paysasa. In this post we explain what the setting does, what it requires and what to consider before switching it on.
This post describes a software setting. It is not tax advice. Speak to a qualified tax adviser or KRA about your own obligations.
Where to find it
The option sits in Settings → Payments, labelled "Fiscalize sales via Paysasa eTIMS". It is off by default; you choose whether to enable it.
What it does

As we describe it in Xduka POS settings: "After each completed order, POS posts a receipt to Paysasa eTIMS (opt-in). Requires Business ID + API key and an active eTIMS account on Paysasa."
In other words, once enabled:
- You complete a sale in Xduka POS as normal.
- We post a receipt for that order to Paysasa eTIMS.
- The fiscalisation happens through your eTIMS account on Paysasa.
What it requires

Paysasa credentials
Your store needs its Paysasa Business ID and API key configured in Payments settings. If you have already connected Paysasa for STK push and hosted checkout, you will have completed this step.
An active eTIMS account on Paysasa
The setting requires an active eTIMS account on Paysasa. Setting that up happens on the Paysasa side; check with our sister platform Paysasa for the requirements.
Item classification codes
eTIMS uses item classification codes for products. When the option is enabled, we show a Default item class code field. Our in-app help explains that this is the "8–10 digit KRA item classification used when a product has none", with a suggested default of 50121500 (merchandise). Where a product has its own classification code, that is used instead.
Before you switch it on
eTIMS has legal and accounting implications, so take a careful approach:
- Confirm your obligations with a tax adviser or KRA.
- Confirm your Paysasa eTIMS account is active.
- Check your item classification codes, at least for your main product groups, rather than relying only on the default.
- Review product tax settings in Xduka POS, including the Taxable flag and any VAT override.
- Test with a small number of sales and confirm the results with your accountant.
- Keep your records: in Xduka POS you can export orders, order items and payments from Settings → Data.
Why integrate fiscalisation with your POS?
When fiscalisation is a separate manual step, it is easy to fall behind, make mistakes or miss sales. Posting receipts automatically after each completed order means:
- Less double entry.
- Fewer missed transactions.
- One source of truth for sales and fiscal records.
Related features in Xduka POS
- Tax handling in the cart, with taxable flags, VAT overrides and an option to show tax-inclusive totals on invoices.
- Customer tax IDs stored on customer profiles.
- Reports and CSV exports for your accountant.
- Paysasa integration for payments, with credentials kept server-side.
Questions?
Because eTIMS setups vary by business, we recommend contacting our team before enabling the option, especially if you run several stores. You can also email [email protected].
Quick checklist
- Talk to your tax adviser first.
- Confirm Paysasa credentials and an active eTIMS account.
- Set a default item class code and product codes.
- Review product tax settings.
- Test with a few sales and confirm the results.
Multi-store considerations
Paysasa is configured per store, so each store's payment and eTIMS settings should be checked separately before enabling the option.
Frequently asked questions
Is eTIMS fiscalisation switched on automatically?
No. It is an opt-in setting in Settings → Payments.
What happens if a product has no item classification code?
We use the default item class code you set, which our settings suggest as 50121500 (merchandise). It is better to confirm the right codes for your main products with your adviser.
Does it work without Paysasa?
The setting is built around Paysasa eTIMS, and requires your Paysasa Business ID, API key and an active eTIMS account on Paysasa.
Fiscalisation in your everyday sales flow
Xduka POS gives you an opt-in setting to fiscalise completed sales through Paysasa eTIMS, using your Paysasa credentials and active eTIMS account, with product or default KRA item classification codes. Used carefully, with professional advice, it can bring fiscalisation into your everyday sales flow.
