Multi-Store Management in Xduka POS: One Account, Many Locations

We built Xduka POS for multi-store retail. Each store has its own inventory, staff, settings and reporting, with store limits based on your plan.

Paysasa Team12 Oct 2026

Growing from one shop to several is a milestone, but it brings new questions. How do you see what each branch is doing? How do you keep staff access separate? How do you avoid mixing up stock between locations? We built Xduka POS as a modern point of sale system for multi-store retail, and managing several locations is part of its core design.

What multi-store means in Xduka POS

With Xduka POS, you can manage multiple store locations with independent inventory, staff, reporting and plan-based store limits. Our multi-store support also covers centralised inventory, reporting and staff management across locations, as we explain on our About page.

What each store has of its own in Xduka POS
What each store has of its own in Xduka POS

In practice, each store has:

  • Its own products and inventory, tracked across every active store.
  • Its own staff, invited with roles such as manager and cashier.
  • Its own settings, including store details, receipts, invoicing, delivery profiles, payments and domain.
  • Its own reports: sales, payments, shifts, inventory and P&L.
  • Its own storefront, published at the store's slug.
  • Its own payment setup, since our sister platform Paysasa is connected per store.

One login across stores

When you create your account, an account with Airsoko, our sister marketplace, is linked automatically so you can work across stores. After logging in, you can create a store or join stores you have been invited to. An owner who runs three branches can move between them without juggling separate accounts.

Staff stay where they belong

Staff are invited to a specific store with a role. For example, a cashier at a Westlands branch does not automatically get access to the Thika Road branch. That keeps accountability clear and limits who can see what.

Stock locations within a store

Within a store, Warehouses let you manage stock locations (for example a shop floor and a back store) and create transfers between them, so you always know where stock is held. We cover warehouses and transfers in a separate feature post.

Comparing branches

Because every store records sales in the same structured way, you can compare branches on the same measures:

  • Revenue by day and hourly patterns.
  • Sales by payment method.
  • Top products and categories.
  • Shift activity and cash variances.
  • Expenses and profit.

Big differences between branches are not always problems, since locations serve different customers, but they tell you where to look.

Plan-based store limits

The number of stores you can run depends on your plan. Our pricing page sets out 1 store on Starter, up to 5 stores on Pro and unlimited stores on Enterprise. Check it for current limits before planning a new branch.

Billing for the business

Subscriptions are managed from Billing, with monthly or yearly plans paid by M-Pesa STK push. SMS and email credits are tracked per store, so you can see which branch is using messaging most.

Tips for running multiple stores in Xduka POS

  1. Set up your first store fully before copying the approach to the next.
  2. Use consistent product names, SKUs and categories across stores so reports compare like with like.
  3. Appoint a manager per store and keep owner access for yourself.
  4. Require shifts at every till.
  5. Review each store's reports weekly, then compare.

Quick checklist

  • Check your plan's store limit on the pricing page.
  • Set up each store's settings, receipts and payments.
  • Connect Paysasa for each store that needs STK push.
  • Invite a manager and cashiers per store.
  • Use consistent product names, SKUs and categories.
  • Review each store's reports weekly, then compare.

A quick example

For example, say a pharmacy business has three outlets in Nakuru. Each outlet has its own manager and cashiers, its own stock and its own reports. The owner logs in once and checks each store's sales and low-stock list every morning before visiting the one that needs attention.

Frequently asked questions

Can one person work in more than one store?

Yes. An account can work across stores, joining those it has been invited to.

Does each store need its own Paysasa setup?

Paysasa is connected per store from that store's payment settings.

What happens when I reach my plan's store limit?

You can upgrade from the Billing section at any time to raise the limit.

Grow one store at a time

We designed Xduka POS to grow with you: start with one store, add more as your business expands, and keep each location's stock, staff, settings and reports organised.
