Sales tell you how busy you are. Profit tells you whether the business is working. To see profit, you need more than sales figures: you need costs and expenses too. We built expense tracking and a Profit & Loss section in Reports into Xduka POS, so you can see the full picture in one place.
What is available
Expenses
The Expenses area lets you track store operating costs and recurring spend. For each expense you can record:
- An expense title
- The amount
- The date
- The payment method
- A category
- Whether it is a recurring expense
You can also manage your own expense categories, so costs are grouped in a way that makes sense for your business. Recording the payment method and date precisely helps keep cash-flow reports and reconciliations accurate.
Reports
Our Reports in Xduka POS include sections for Summary, Products, Payments and P&L. You will find a Profit & Loss Summary, Revenue by Day, an Hourly Breakdown and Sales by Payment Method, and you can export all to CSV.

Why expenses belong in your POS
Many shop owners track sales in one place and expenses somewhere else, if at all. The result is that profit is only known at the end of the year, if ever. Bringing them together means:
- You see real profit, not just revenue.
- You spot rising costs early, such as a jump in transport or electricity.
- You can plan, knowing what recurring costs are coming each month.
- Your accountant gets cleaner records, especially with CSV export.
Cost price makes the P&L meaningful
A profit and loss view depends on knowing what your goods cost. In Xduka POS, we give products both a selling price and a cost price, and use the cost for margin and profitability reports. Keep cost prices up to date when suppliers change prices, and your P&L will reflect reality.

Getting started with expense tracking
- Set up your categories. Start simple: rent, wages, utilities, transport and a few more.
- Add recurring expenses like rent so they are never forgotten.
- Record expenses as they happen, not at month end.
- Choose the right payment method for each expense.
- Review the P&L monthly and compare with the previous month.
Questions your P&L can answer
- Did we make more profit this month than last month?
- Which days of the week bring the most revenue?
- At what hours are we busiest, and do we have enough staff then?
- Which payment methods are customers using?
- Are any expense categories growing faster than sales?
A note on tax and accounting
We give you organised operational records and exports in Xduka POS. For tax filing and formal accounts, work with a qualified accountant who can use these records as a starting point.
Quick checklist
- Create a short list of expense categories.
- Add recurring costs such as rent.
- Record each expense with date and payment method.
- Keep product cost prices up to date.
- Review the P&L monthly and export your data.
Common expense-tracking mistakes
- Recording only big expenses. Small daily costs, such as transport, airtime and packaging, add up quickly over a month.
- Mixing personal and business spending. Only record genuine business costs, or your profit picture becomes meaningless.
- Recording expenses weeks later. Dates and amounts get forgotten. Record them on the day.
- Using too many categories. A long list makes reports harder to read. Start with a handful and add more only when you need them.
- Taking cash from the till without a record. If cash is used to pay an expense, record the expense so the shift's cash count still makes sense.
Fixing these habits makes your Profit & Loss view far more reliable, and gives your accountant cleaner records to work with.
