The register is where most of your day happens. We designed Xduka POS so that a sale takes only a few taps, even during a busy rush. In this guide we walk through a typical sale from start to finish.
Before you start: open a shift
If your shop uses shifts (we recommend it), open one before your first sale. Go to Shifts in the Sales section, enter your opening cash and click Start Shift. Sales you make are then linked to your shift.
Step 1: Open the register
Click Register in the Sales section of the menu. You will see the Catalog on one side and the Cart on the other. On a phone, the layout adapts to the smaller screen.

Step 2: Find and add products
There are several ways to find a product:
- Scan the barcode with a barcode scanner.
- Search by name, SKU or barcode in the search box.
- Filter by category, or use the Low stock filter.
- Browse the catalog pages with Previous and Next.
Tap a product to add it to the cart, and adjust quantities as needed.
Step 3: Add the customer (optional)
Under Customer, search by name, phone or email to attach the sale to an existing customer. For a walk-in customer, you can enter a walk-in name, phone or email instead. Capturing a phone or email lets you send a digital receipt after the sale.
Step 4: Apply a discount (if any)
Use the Discount field to apply a discount to the sale. The cart shows the Subtotal, any Delivery charge and the Total.
Step 5: Choose fulfilment
Most counter sales are Pickup in store. If the customer wants delivery, choose Ship to address, select a delivery profile (set up under Settings → Delivery) and enter the recipient name, address, city and any delivery notes.
Step 6: Take payment

Under Payment, choose how the customer is paying:
- Cash: enter the amount received.
- M-Pesa: record the M-PESA reference code.
- Card or bank: record the reference.
- Paysasa (our sister platform): enter the customer's phone or wallet and choose Initiate STK Push or Send Checkout Request, then Open checkout if you want to show the hosted page or QR.
- Split: combine more than one method, entering the amount for each.
For larger purchases, you can also set the sale up as Lipa Polepole, attaching the order to a customer account with an optional deposit and a due date.
Step 7: Complete the sale
Click Checkout to complete the sale. You will see Sale Complete!. From here you can:
- Print the Receipt on a thermal printer.
- Send Digital Receipt by choosing a channel (SMS or email) and entering the recipient.
- Start a New Sale.
If you make a mistake
Use Clear to empty the cart before checkout. If a completed sale needs to be reversed, a user with refund permission can refund the order from Orders; inventory is restored when the order is refunded.
Tips for faster sales
- Use barcodes wherever possible.
- Keep product names clear so search works well.
- Use STK push instead of asking customers to type till numbers.
- Capture phone numbers for regular customers to build history.
- Practise on a quiet day before a busy one.
Screens and labels may change slightly as we update Xduka POS; if something looks different, contact our support team.
Quick checklist
- Open a shift.
- Scan or search products.
- Add the customer and any discount.
- Take payment and record references.
- Print or send the receipt.
A quick example
For example, say you run a kiosk in Kawangware: scan bread, add milk, take KES 50 cash and the rest by STK, then text the receipt.
Frequently asked questions
Can I sell when the internet is down?
Yes, if you have installed Xduka POS as an app. The register stays usable offline and queued work syncs when you reconnect. STK push and hosted checkout need a connection.
Do I have to add a customer to every sale?
No. Customers are optional. Adding them builds purchase history and lets you send digital receipts.
What if the customer wants delivery?
Choose Ship to address, pick a delivery profile and enter the recipient details. The order then appears on the Deliveries board.
The same simple pattern, every sale
A sale on Xduka POS follows the same simple pattern every time: find products, build the cart, take payment and complete. Once your team is comfortable, queues move faster and every sale is recorded properly.
