Setting up a new point of sale can feel daunting, but with Xduka POS you can go from sign-up to your first sale in a single sitting. In this guide we walk through the process for a typical shop. For example, say you are setting up a small hardware store in Nakuru; the same steps apply to a minimart, salon, pharmacy or boutique.
Before you begin
Have these ready:
- Your business name and a short description of what you sell.
- A list of your main products with selling prices (and cost prices if you have them).
- Your logo, if you have one.
- The email addresses of staff you want to invite.
- A phone or computer with a browser.

Step 1: Create your account
- Go to www.xduka.com and click Get Started or Start Free Trial.
- Enter your full name, phone number, email and a password, then confirm the password.
- Click Create account.
An account with Airsoko, our sister marketplace, is linked automatically, so you can work across stores. No credit card is required to start your trial.
Step 2: Create your store
After logging in, you can create a store or join stores you have been invited to. Create your store, then open the dashboard. The dashboard overview shows things like sales today, open layaways, low-stock count and top products once you start trading.
Step 3: Install the app (optional but recommended)
You can install Xduka POS as an app. When your browser offers Install Xduka POS ("Add to your home screen for quick access"), choose Install. This gives you a home-screen icon and lets the register keep working when the connection drops.
Step 4: Configure your store settings
Open Settings from the Account section of the menu. Work through the tabs that matter most:

Store
Add your store description and store type. You can also choose whether to show product images on the register by default and whether tills can complete recorded sales while offline.
Receipt
Choose whether to show a QR code and your store logo on receipts, and whether to open the cash drawer on cash sales if you have one connected.
Invoicing
Set your invoice, quote and credit note prefixes, your default payment terms (days), payment instructions, a legal footer and whether to show tax-inclusive totals.
Delivery
If you deliver, add delivery profiles with a name, fee (KES), minimum order (KES) and ETA (minutes), and choose a default profile.
Payments
Choose the payment methods you accept, such as cash, M-Pesa, card and bank transfer, and connect our sister platform Paysasa if you want STK push and hosted checkout. We cover Paysasa in a separate guide.
Domain
Control your storefront slug and domain routing if you plan to sell online.
Step 5: Add your products
Open Products under Catalog. Add products one by one with name, SKU, barcode, category, selling price and cost price, or use Product Import to bring them in from a CSV file. Start with your 20 to 30 fastest-moving items so you can begin selling quickly, and add the rest over the next few days.
Step 6: Invite your team
Open Admin, go to invitations and use Invite Staff. Enter each person's email, choose a role (for example manager or cashier) and send them the invitation link. Each person gets their own login.
Step 7: Make a test sale
Open Register under Sales, add a product, take a cash payment and complete the sale. Check the receipt, then look at the order in Orders. If everything looks right, you are ready to trade.
Tips for a smooth start
- Start small. Get your top products in first.
- Check your plan limits for stores, staff and products on our pricing page.
- Train staff on the register before a busy day.
- Open a shift for each cashier from the first day so cash is tracked.
Screens and labels may change slightly as we update Xduka POS; if something looks different, contact our support team.
